Privacy Policy

1. Phạm vi1. Scope

Chính sách này mô tả cách Công ty Cổ phần Công nghệ XBOT ("XBOT", "chúng tôi") thu thập, sử dụng và bảo vệ dữ liệu cá nhân khi bạn dùng nền tảng DIAC, mô-đun báo cáo REBOT và các ứng dụng di động đi kèm (gọi chung là "Dịch vụ"). Dịch vụ được cung cấp cho các cơ quan quản lý giáo dục, cơ sở giáo dục và nhà cung cấp phần mềm theo hợp đồng ("Tổ chức"). Chính sách được xây dựng theo Luật Bảo vệ dữ liệu cá nhân và Nghị định 13/2023/NĐ-CP của Việt Nam, cùng Chính sách dữ liệu người dùng của Dịch vụ API Google.

This policy describes how XBOT Technology Joint Stock Company ("XBOT", "we") collects, uses and protects personal data when you use the DIAC platform, the REBOT reporting module and the companion mobile apps (together, the "Service"). The Service is provided under contract to education authorities, schools and software vendors ("Organisations"). It is written to comply with Vietnam's personal data protection law (Decree 13/2023/ND-CP) and the Google API Services User Data Policy.

2. Dữ liệu chúng tôi thu thập2. Data we collect

Với dữ liệu nghiệp vụ, Tổ chức là bên kiểm soát dữ liệu; XBOT xử lý dữ liệu đó theo chỉ dẫn của Tổ chức và hợp đồng đã ký. Chúng tôi không thu thập dữ liệu vị trí chính xác, danh bạ hay nội dung tin nhắn trên thiết bị của bạn.

For business data the Organisation is the data controller; XBOT processes it under the Organisation's instructions and the signed contract. We do not collect precise location, contacts or message content from your device.

3. Đăng nhập bằng Google3. Sign in with Google

Dịch vụ dùng Firebase Authentication của Google để xác thực. Khi bạn chọn "Đăng nhập bằng Google", Google hỏi ý kiến bạn rồi cung cấp cho chúng tôi những thông tin sau từ hồ sơ Google của bạn:

The Service uses Google's Firebase Authentication. When you choose "Sign in with Google", Google asks for your consent and then provides us with the following from your Google profile:

• Địa chỉ email — làm định danh tài khoản và để Tổ chức của bạn cấp quyền đúng người.Email address — used as your account identifier and so your Organisation can grant access to the right person.
• Tên hiển thị — hiển thị trong giao diện và trong nhật ký "ai đã lưu/nộp".Display name — shown in the interface and in "who saved/submitted" logs.
• Giới tính (chỉ khi bạn cho phép) — điền sẵn vào hồ sơ người dùng; bạn có thể bỏ trống hoặc sửa.Gender (only if you allow it) — pre-fills your user profile; you may leave it blank or change it.
• Ảnh đại diện — hiển thị cạnh tên bạn.Profile picture — shown next to your name.

Chúng tôi không yêu cầu và không truy cập bất kỳ phạm vi (scope) Google nào khác: không Gmail, Drive, Lịch, Danh bạ hay Ảnh. Việc sử dụng thông tin nhận từ Google API tuân thủ Chính sách dữ liệu người dùng của Dịch vụ API Google, bao gồm các yêu cầu về Sử dụng hạn chế: dữ liệu Google chỉ được dùng để cung cấp và cải thiện tính năng đăng nhập/hồ sơ nêu trên, không chuyển cho bên khác trừ khi cần để vận hành tính năng đó hoặc theo luật, không dùng cho quảng cáo, và con người chỉ đọc dữ liệu này khi bạn đồng ý, vì lý do bảo mật, tuân thủ pháp luật hoặc sau khi đã ẩn danh.

We do not request or access any other Google scope: no Gmail, Drive, Calendar, Contacts or Photos. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements: Google data is used only to provide and improve the sign-in and profile features described above, is not transferred to others except as needed to provide those features or as required by law, is not used for advertising, and is not read by humans unless you consent, for security or legal compliance, or after aggregation/anonymisation.

You can revoke DIAC's access at any time at myaccount.google.com/permissions.

4. Mục đích sử dụng4. How we use data

• Tạo, xác thực và bảo vệ tài khoản; gán bạn vào đúng Tổ chức và vai trò.Create, authenticate and protect your account; place you in the right Organisation and role.
• Vận hành các tính năng của Dịch vụ: lưu trữ dữ liệu theo kỳ, nhập và nộp báo cáo, tổng hợp, kết nối nguồn dữ liệu.Operate the Service's features: period-based data storage, report entry and submission, aggregation, data-source connections.
• Ghi nhật ký để truy vết ai đã thay đổi gì — yêu cầu bắt buộc của khách hàng là cơ quan nhà nước.Keep audit logs of who changed what — a mandatory requirement of our public-sector customers.
• Hỗ trợ kỹ thuật, khắc phục sự cố và bảo đảm an toàn hệ thống.Provide technical support, fix incidents and keep the system secure.
• Thực hiện nghĩa vụ pháp lý.Meet legal obligations.

Chúng tôi không dùng dữ liệu cá nhân để quảng cáo, không bán hoặc cho thuê dữ liệu, và không dùng dữ liệu của bạn để huấn luyện mô hình trí tuệ nhân tạo dùng chung.

We do not use personal data for advertising, do not sell or rent data, and do not use your data to train shared AI models.

5. Chia sẻ dữ liệu5. Sharing

Dữ liệu chỉ được chia sẻ trong các trường hợp sau:

Data is shared only in these cases:

• Trong Tổ chức của bạn — người dùng khác cùng đơn vị hoặc cơ quan quản lý cấp trên thấy tên và dữ liệu nghiệp vụ theo phân quyền do Tổ chức đặt.Within your Organisation — other users in the same unit, or the supervising authority, see your name and business data according to permissions the Organisation sets.
• Nhà cung cấp phần mềm được kết nối — chỉ khi Tổ chức của bạn bật kết nối và chỉ với dữ liệu nghiệp vụ trong phạm vi đã cấu hình; thông tin tài khoản Google của bạn không được chuyển cho họ.Connected software vendors — only when your Organisation enables the connection, and only for business data within the configured scope; your Google account information is not passed to them.
• Nhà cung cấp hạ tầng — Google (Firebase Authentication) cho xác thực; đơn vị cho thuê máy chủ tại Việt Nam cho lưu trữ. Họ chỉ xử lý dữ liệu để cung cấp dịch vụ cho chúng tôi.Infrastructure providers — Google (Firebase Authentication) for sign-in; a hosting provider in Vietnam for storage. They process data only to provide their service to us.
• Theo yêu cầu pháp luật — khi cơ quan có thẩm quyền yêu cầu hợp lệ.When legally required — upon a valid request from a competent authority.

6. Lưu trữ & bảo mật6. Storage & security

Dữ liệu nghiệp vụ và nhật ký được lưu trên máy chủ đặt tại Việt Nam. Thông tin xác thực (email, tên, ảnh) được Firebase Authentication lưu trữ theo hạ tầng của Google. Kết nối được mã hoá bằng HTTPS; mật khẩu (nếu có) chỉ lưu dạng băm; truy cập nội bộ giới hạn theo vai trò và được ghi nhật ký; kết nối với phần mềm bên ngoài dùng chữ ký HMAC và phải được cả hai bên bật.

Business data and logs are stored on servers located in Vietnam. Authentication information (email, name, picture) is held by Firebase Authentication on Google's infrastructure. Connections are encrypted with HTTPS; passwords (where used) are stored only as hashes; internal access is role-limited and logged; connections to external software use HMAC signatures and must be enabled by both parties.

7. Thời gian lưu giữ7. Retention

• Thông tin tài khoản: trong thời gian tài khoản còn hiệu lực; xoá trong vòng 30 ngày sau khi tài khoản bị xoá theo yêu cầu của bạn hoặc của Tổ chức.Account information: while the account is active; deleted within 30 days after the account is removed at your or the Organisation's request.
• Dữ liệu nghiệp vụ: theo thời hạn hợp đồng và quy định lưu trữ của Tổ chức; trả lại hoặc xoá khi hợp đồng kết thúc.Business data: for the contract term and the Organisation's record-keeping rules; returned or deleted when the contract ends.
• Nhật ký hoạt động: tối đa 24 tháng, trừ khi pháp luật yêu cầu lâu hơn.Activity logs: up to 24 months unless law requires longer.

8. Quyền của bạn8. Your rights

Bạn có quyền truy cập, sửa, xoá dữ liệu cá nhân của mình, rút lại sự đồng ý và phản đối việc xử lý theo pháp luật Việt Nam. Bạn có thể tự sửa tên hiển thị, giới tính và ảnh trong phần hồ sơ của Dịch vụ. Để xoá tài khoản hoặc dữ liệu, gửi yêu cầu tới tech.xbot@gmail.com từ chính địa chỉ email đã đăng ký; chúng tôi phản hồi trong vòng 72 giờ và hoàn tất trong 30 ngày. Với dữ liệu nghiệp vụ do Tổ chức kiểm soát, chúng tôi sẽ chuyển yêu cầu tới Tổ chức và hỗ trợ họ xử lý.

You have the right to access, correct and delete your personal data, withdraw consent and object to processing under Vietnamese law. You can edit your display name, gender and picture in the Service's profile section yourself. To delete your account or data, email tech.xbot@gmail.com from the registered address; we respond within 72 hours and complete within 30 days. For business data controlled by an Organisation we forward the request to the Organisation and help them handle it.

9. Trẻ em9. Children

Dịch vụ dành cho cán bộ, giáo viên và nhân viên của Tổ chức, không dành cho người dưới 18 tuổi đăng ký. Hồ sơ học sinh trong Dịch vụ là dữ liệu nghiệp vụ do Tổ chức nhập và kiểm soát theo chức năng quản lý giáo dục của họ; phụ huynh hoặc học sinh muốn thực hiện quyền của mình đối với hồ sơ đó vui lòng liên hệ trực tiếp cơ sở giáo dục.

The Service is for Organisation staff and teachers, not for sign-up by anyone under 18. Student records in the Service are business data entered and controlled by the Organisation under its education-management function; parents or students wishing to exercise rights over those records should contact the school directly.

10. Thay đổi chính sách10. Changes

Khi có thay đổi quan trọng, chúng tôi cập nhật ngày hiệu lực ở đầu trang và thông báo trong Dịch vụ hoặc qua email ít nhất 7 ngày trước khi áp dụng.

For material changes we update the effective date at the top of this page and notify you in the Service or by email at least 7 days before they apply.
